SCANNING SERVICES

We are based in NORTH DAKOTA, USA and we are inviting bids from qualified and experienced service providers (From USA Only), for Scanning Services. Initially the contract will be of 12 Months (i.e. beginning from September 1, 2010 and ending on August 31, 2011) and can be renewed for two (2) additional one year periods.
Scope of Work:
1) Service Provider will pick the documents from our location and will scan the documents into an electronic format. Documents are to be returned to the same address.
2) Documents:
a) Documents may include sizes greater than tabloid (11x17) size sheets. Service Provider must be able to accommodate sizes up to 36x60. Scanned documents must be scaled to 100%.
b) Volumes are unknown at this time
c) The documents will be scanned as TIF format at 300 dpi.
d) Service Provider must return multi page .tif as one file.
3) Batches:
a) Batches contain documents that are 8 ½ x 11 with less than 5% consisting of 8 ½ x14 size documents.
b) Barcodes will be used on future documents and OCR will be required.
4) Electronic Storage Files:
a) The electronic files to be returned to us will be either 1) via ftp or 2) portable storage device that is organized, labeled, and will include an index file indicating the contents of the media.
b) The quality of legibility of the scanned electronic document should be equal to the quality of the original document. New documents not found to be of this quality, must be reproduced to our satisfaction.
5) Extreme care in handling of the originals is required.
6) Document Review, Sample:
a) Service Providers will be required to produce a representative sample of their scan and digitization process using a sample provided by us. The sample must be received and approved by our contract administrator prior to the bid opening.
b) The documents may be viewed at our premises and the original for the representative sample should be retrieved prior to bid submittal by setting up an appointment with our contract administrator.

Questions (if any) must be submitted on or before August 4, 2010. Deadline for receipt of proposals is August 11, 2010 by 14:00 Hrs. This Tender is ONSHORE and OFFSITE, i.e. Businesses in / from USA can propose for this Tender.
